MICROSOFT TEAMS FOR WEBINARS

PURPOSE OF PROCESSING

We use the Microsoft Teams tool and other Office 365 cloud services to hold telephone conferences, online meetings, video conferences, webinars, and/or online training courses (hereinafter: “online meetings”). Microsoft Teams and Office 365 are services provided by Microsoft Corp., which is based in the USA.

RESONSIBLE PERSON

Fb Industry Automation GmbH is responsible for data processing that is directly related to the implementation of online meetings.

Note: If you access the Microsoft website, the respective provider is responsible for data processing. Use of Microsoft products depends on use of the respective Office 365 service. For Teams, access to the website is only required to download the app. For other Office 365 services, another login and use of online apps in the browser is required.

With Microsoft Teams you can participate in conferences in the app using a link, a calendar integrated in Teams, the respective chats, or Teams channels.

If you do not want to or cannot use the Teams app, the basic functions can also be used via a browser version, which can be found on the Microsoft website (http://www.office.com).

WHICH DATA ARE PROCESSED?

Various types of data are processed when using Teams or Office 365. The data scope also depends on the information you provide before or when participating in an online meeting.

The following personal data can be processed:

User information: first name, surname, telephone (optional), e-mail address, password (if single sign-on is not used), profile picture (optional), department (optional).

Online metadata: topic, description (optional), participant IP addresses, device/hardware information.

For recordings (optional): MP4 file of all video, audio and presentation recordings, M4A file of all audio recordings, text files of the online meeting chat.

When dialling in by phone: information about the incoming and outgoing phone number, country name, start and end time. Additional connection data such as the IP address of the device may also be saved.

Text, audio and video data: In an online meeting, you may have the option of using the chat, question or survey functions as well as other functions for uploading and downloading data such as images, sound, video or Office files. In this case, the data you provide will be processed in order to display it in the online meeting and to make it accessible to other participants during or after the meeting and, where applicable, record it.

In order to enable the display of video and the playback of audio, data from the microphone of your end device and any video camera on the end device can be processed accordingly for the duration of the meeting. You can switch off the camera or mute the microphone yourself at any time using the Teams applications.

In order to take part in an online meeting or to enter the “meeting room,” you must at least provide information about your name.

Exchange Online: Surname, first name and the e-mail address, which is required by Fb Industry Automation GmbH for the purpose of logging into Office 365 services, as well as the e-mails that are exchanged and processed by this service. The e-mails are only processed (stored) electronically to the extent that this is necessary for the provision and storage of e-mails for the purpose of processing by the user.

SharePoint, OneDrive and other Office 365 cloud services: Storage of data saved by the user themselves in these services, only for the purpose of further processing or dissemination determined by the user.

SCOPE OF PROCESSING

We use Microsoft Teams to conduct online meetings and Office 365 to provide other Microsoft cloud services such as OneDrive, Office Online, e-mail and SharePoint as well as Microsoft Stream.

If we want to record online meetings, we will inform you transparently in advance and – if necessary – ask for your consent. If a recording is being made this is also displayed in Microsoft Teams.

We will log the chat content if this is necessary for the purpose of logging the results of an online meeting. However, this will usually not be the case.

In the case of webinars, we may also process the questions asked by webinar participants for the purpose of recording and following up on webinars.

If you are registered with Microsoft as a user, or participate in a conference as a guest, reports about online meetings (meeting metadata, data on telephone dial-in, questions and answers in webinars, survey function in webinars) may be saved in Teams until the end of the meeting or the respective training measure plus one additional month.

Automated decision-making within the meaning of Article 22 GDPR is not used.

LEGAL BASIS FOR DATA PROCESSING

Insofar as personal data is processed by employees of Fb Industry Automation GmbH, Article 26 BDSG is the legal basis for data processing. If, in connection with the use of Teams or Office 365, personal data is not required for the establishment, implementation or termination of the employment relationship, but is an elementary component in the use of Teams or Office 365, Article 6 (1) (f) GDPR is the legal basis for data processing. In these cases, our legitimate interest is effective implementation of online meetings and online training measures, as well as the provision of Microsoft cloud services to support these training measures and communication between participants in meetings.

In addition, the legal basis for data processing when conducting online meetings is Article 6 (1) (b) GDPR, insofar as the meetings are carried out within the framework of contractual relationships.

If there is no contractual relationship, the legal basis is Article 6 (1) (f) GDPR. In this case our legal interest is also in the effective implementation of online meetings.

RECIPIENT / TRANSFER OF DATA

Personal data that is processed in connection with participation in online meetings, in Teams, as well as in Office 365 services provided by Fb Industry Automation GmbH are generally not passed on to third parties unless they are specifically intended for disclosure. Please note that content from online meetings, as well as from personal meetings, is often used to communicate information with customers, interested parties or third parties, and is therefore intended for disclosure.

Other recipients: The provider of Teams necessarily obtains knowledge of the aforementioned data, insofar as this is provided for in the context of order processing with Microsoft.

 

LANDBOT

We use the service of the provider www.landbot.io on our site with our Fb Stash Bot. Landbot is a service provided by HELLO UMI S.L, Calle Garrigues, 5, 8º GL, 46001 Valencia, Spain. Every time you start or use a chat on our website, Landbot collects data from you. You can find more detailed information in the Landbot „Privacy Policy“.

GOOGLE RE-/MARKETING SERVICES

Our concern within the meaning of the GDPR (legitimate interest) is the improvement of our offer and our website. We therefore use marketing and remarketing services (abbreviated to “Google Marketing Services”) from Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA (“Google”).
Google is certified in accordance with the Privacy Shield agreement and thus guarantees that European data protection laws will be complied with (https://www.privacyshield.gov/participant?id=a2zt000000001L5AAI&status=Active).). By using Google Marketing Services, we can display advertisements for and on our website in a targeted manner so that we only present users with advertisements that potentially reflect their interests. To do this, Google executes a code and uses so-called (re-) marketing tags, with the help of an individual cookie that is stored in the user’s browser. Regarding the the use of cookies see above.
The collected information may also be combined by Google with information from other sources. If the user then visits other websites, advertisements tailored to them can be shown on the basis of their interests.

In addition to this, the user’s IP address is recorded via Google Analytics but pseudonymised immediately (e.g. by deleting the last 8 bits). This means that only a rough localisation is possible. The ads are not managed and displayed for a specific person, but for the cookie owner, regardless of who this cookie owner is. This naturally doesn’t apply if a user has expressly allowed Google to process the data without this pseudonymisation. Information that Google Marketing Services collects about users is transmitted to Google and stored on a Google server in the USA. The user’s IP address is not merged with the user’s data from other Google offers.

Among other things, we use cookies from the Google marketing service Google Ads, and we may display third-party advertisements on the basis of the Google marketing service Google Ads and its cookies. We also use Google Tag Manager to integrate the analysis and marketing of services offered by Google into our website and to manage them centrally.

We have an online presence on social networks and platforms in order to be able to communicate with users, interested parties, and customers who are active there. When accessing these networks and platforms, the terms and conditions as well as data processing guidelines of the respective operator apply.

HUBSPOT

Our registration service allows visitors to our website to learn more about our company, to download content, and to provide their contact information as well as other demographic information. This information is stored on the servers of our software partner HubSpot. It can be used by us to contact visitors to our website and to determine which services from our company they may be interested in. Any information we collect is subject of this Privacy Policy We use all information collected exclusively to optimise our marketing.

We use HubSpot for our online marketing activities. This is an integrated software solution with which we cover various aspects of our online marketing.
